Expert Mailing of Bills, Invoices, and Sensitive Customer Correspondence
When it comes to handling your most critical documents, fast, reliable and secure service can be the difference not just between profit and loss, but success and catastrophe. We know this at Impact Proven Solutions, and we’re confident we can help you find profit and success.
We specialize in delivering the most sensitive billing statements and correspondence – on paper or electronically – for a diverse and expanding world of financial, manufacturing, and direct sales companies, including several Fortune 500 companies.
Our services are sophisticated and painstakingly predictable. Daily, weekly, and monthly reports keep you apprised of exactly where you stand at any given time so there is never a surprise.
Customizable Services
Many people resist outsourcing for fear of losing complete control of their most sensitive billing statements and customer correspondence. At Impact Proven Solutions, we can put this fear to rest.
We’re happy to modify our services to accommodate your specific needs and preferences – we have already done so for many of our clients. You can determine what marketing and regulatory messages appear on each of your documents. You can even add unique messages to your invoice run.
What’s more, we’ll provide you with detailed production reports on a daily, weekly, and monthly basis so you can review transactions before and after they are processed.
We make it as easy as possible to outsource your invoicing and customer correspondence. All you need to do is enter your information into your accounting system as you normally would and then send the files electronically to Impact Proven Solutions using our secure FTP site. We can take it from there.
Working with Impact will help you slash operating costs.
Outsourcing can play a valuable role in helping your business not only survive but thrive in this fast paced and ever-changing economic environment. Outsource your critical documents to a company that will protect your bottom line.
We also help you control postage costs for your non-electronic mailings. In any transactional print operation, you’ll spend 60 to 80 percent of your budget on postage. We are able to offer you the lowest possible postage costs.
You can reduce the labor required to print, fold, stuff, and send correspondence. And you’ll no longer have to endure the peak and valleys of invoicing volumes that has your work force working overtime one day and doing not much of anything the next.
You won’t need to tie-up capital by financing the expensive equipment and materials required to operate manual processes.
You can accelerate cash collections, decrease DSO, and minimize the burden on your collections and customer service departments.
Paperless Billing
Paperless billing also provides an advantage that that ink and paper
can’t provide – more information can be made available in a statement provided through the internet, and there is less confusion on the client’s end. In fact, when the right information is given, you will also save money by cutting back on customer service calls.
Yet perhaps the greatest benefit to paperless billing is how quickly an e-bill can reach the client. Instead of waiting days, even weeks, for the information to arrive, clients receive important information in a matter of seconds. And the quicker your customers receive their bills, the quicker you receive payment.
At the same time, you can offer customers the option of paper or electronic mailings, allowing them to switch from one to the other at their own pace.
Security: Protecting your Data
Essential to every service we provide is the security of your material. So we have made significant investments in our technologies, facilities, and employees to make sure your confidential business documents remain safe.
In order for you to be as confident as possible we take the following security measures:
- Physical and electronic access to information is restricted to personnel with a business purpose only
- User account access capabilities are configured with least privilege (minimum access rights and privileges needed to perform a particular function or transaction) to ensure the confidentiality and privacy of data and information
- Impact follows a detailed data categorization and sensitivity policy that ensures data is stored in the correct location and is treated with the correct level of security based on its type requested for their data
- Impact supports encrypted FTP sessions.
- Impact does not outsource any electronic data maintenance or processing function
- Under no circumstances is any media left unattended. Media is stored in a controlled location where access is limited to a business need. Logs are maintained to record the date of receipt and return of media.
- Waste due to random QA functions, machine configuration, and spoilage are immediately placed in large bins which are locked, not accessible to Impact employees, and are picked up by Impact’s shredding vendor to shred the documents off‐site
Your Data Is Safe in Emergencies
Along with the above safety precautions, Impact also maintains a recovery network at a co‐location in the suburbs of Minneapolis. This location is a hot site which means that it is available and active at the same time as the corporate network. This allows Impact to replicate data and configurations in real‐time and to be able to insure that our systems are fully operational without taking our corporate network offline.
In the event of an emergency, our remote location will allow personnel to connect to the backup network using Citrix along with two‐factor authentication from anywhere. Because data is replicated 24×7, jobs can be managed, electronic services can be maintained, and physical jobs can be routed to pre‐arranged subcontractors.
We make you look good.
On top of all the other value that Impact can offer in the area of critical documents, it is also important to us to do everything we do as an extension of you, our customer. We want to make you look good to your customers. We will make every document look professional, taking care to match your corporate colors, making sure your logo pops, adding clear and clean text lines, and incorporating charts, graphs, illustrations and photographs as needed.
We’re committed to getting high quality documents to the correct recipient while meeting all of your time-sensitive delivery deadlines, whether through traditional or electronic mail.
